How to write emails and text messages?
Hi everyone, today we are going to learn how to write emails and text messages. Email and text is a form of communication done in writing on digital media.
Communication is an exchange of information. An email has text, images, animation to appeal and establish a brand identity. The text messages on instant messaging platforms like Whatsapp work the same as email. The normal SMS allows to send text and emojis only.
The parts of an email:
1)To, cc and bcc
2)Subject
3)Body:
I)Salutation (Greeting)
II)Matter
III)Plan of action with UTT and PPT
4)Conclusion
Now let us talk about ‘To’,
In “to”, mention the email ID to which you want to send the email.
CC means carbon copy. The same email will be sent to the ID in cc.
BCC: The email ID in BCC is incognito. People in ‘to’ and ‘cc’ will not be able to see the email put in bcc.
Subject is a line of the email. It is similar to the aim of an experiment in chemistry journal. E.g. “to apply for cab facility”. It should clearly answer the “why” of the email.
The Body of each email is a subject matter. It begins with Salutation (Greeting). E.g. Dear sir, or Dear Mr. Green followed by a comma. Then comes the matter.
The matter should be
1)Giving a clear, concise and actionable message. Talk about something that can be done about it in clear manner using less words. Use bold text to highlight important points with proper spacing in paragraphs to make the matter understandable.
2)Maintain formality and professional image
Mention what action needs to be taken alongwith the exact time frame.
Add your signature at the bottom with a statement like, “Looking forward to hear from you”, this is a conclusion.
Similarly, when we write text messages, brevity of the text is important. It must not exceed the 160 character limit on the SMS. If you want to extend it, please mention the address of the webpage where the reader can find more information.
In case of instant messaging text, the language can go a bit informal but in business communication, follow the same set of rules of email writing for the texts.
That’s all for today.
Let me summarize everything for you.
Email parts: To,cc, bcc, subject, body, conclusion
Email rules and text parts: salutation, clear message, action plan, professional language.
Thank you everyone and take care.
